Booking Cancellations & Refunds Summary
Please read this summary carefully before confirming your booking.

Payment
• Payment is required at the time of booking or on the day of your appointment, as advised.
• Fees reflect clinical time, expertise, and resources.
• Medical and fertility treatments cannot guarantee outcomes.

Cancellations by You
If you need to cancel or reschedule, please notify us as early as possible.
• More than 7 days’ notice
→ Refund issued minus reasonable administrative costs
• Less than 72 hours’ notice
→ 50% cancellation fee applies
• Same-day cancellation or non-attendance (DNA)
→ Full fee payable (no refund)
Late arrival may result in a shortened appointment or be treated as a non-attendance if the appointment cannot proceed.

Cancellations by the Clinic
• If we cancel your appointment, you will be offered the next available alternative.
• If you are unable to attend the alternative appointment, you are entitled to a full refund.
• Where applicable, we follow the Duty of Candour, providing openness, explanation, and apology.

Procedures, Scans & Tests
• Once a procedure, ultrasound scan, or blood test has been performed, fees are non-refundable.
• Dissatisfaction with an outcome does not automatically entitle a refund.
• Clinical concerns should be raised via our Complaints Policy.
If a procedure or scan cannot be completed for clinical reasons, charges will be adjusted fairly and any unused balance refunded.

Packages & Pre-Paid Services
• Unused elements may be eligible for partial refund or clinic credit, at our discretion.
• Services already delivered are charged at the full individual rate.
• Administrative and booking fees may be retained.
• Refunds are calculated pro-rata and are not automatic.

Refund Requests
• Refund requests must be made in writing.
• Refunds are reviewed by clinic management.
• Approved refunds are processed within 14 working days.
• Refunds are issued to the original payment method.

Exceptional Circumstances
Requests relating to serious illness, bereavement, or exceptional events will be considered sensitively on a case-by-case basis.
